01 Start with specification continuity
Use the written project schedule, BOQ or a readable existing-cylinder label to establish that HCFC-123 is actually required. A green cylinder or a generic request for a clean agent is not enough to identify the agent.
If the written requirement and the installed label disagree, flag that conflict instead of choosing one silently. DGRB can identify the missing information, but any change to the approved requirement needs the appropriate project review.
02 Define the equipment form and work type
- Portable, ceiling-mounted or trolley-mounted unit
- Required capacity, rating and quantity from the schedule or label
- Brand-new supply, exact replacement, refill, reconditioning or annual lease
- For ceiling units, access and removal or reinstallation requirements
- Collection point, temporary-unit need and return-delivery constraints for service work
03 Existing HCFC-123 units need unit-level evidence
Photograph the complete cylinder, readable agent and rating label, valve, discharge assembly and any visible condition issue. Provide the service history when it exists. Do not group unreadable or visibly different units under one assumed specification.
Each cylinder is inspected before refill, reconditioning or replacement is confirmed.
04 Avoid the three common procurement errors
- Do not use HCFC-123 and HFC-236fa names interchangeably.
- Do not order from cylinder color without confirming the label.
- Do not combine supply, service and lease quantities into one unclear total.

What should be photographed for an existing HCFC-123 unit?

Can supply, refill and lease units be placed in one quantity?
Keep them as separate lines. Each work type has different inspection, handling, documentation and commercial requirements.
